1. Who we are

Le Marché Linguistique is a certified translation service operated by Maria Gabriela Zurbaran Duque, OTTIAQ-certified translator (#32238), registered in Quebec under NEQ 2274811340.

This policy describes how we collect, use, store and protect your personal information in accordance with Quebec Law 25 (Act respecting the protection of personal information in the private sector), PIPEDA (Personal Information Protection and Electronic Documents Act), and the OTTIAQ code of ethics.

2. Information we collect

Information you provide directly

• Full name and email address
• Phone number (for transactional communications)
• Official documents submitted for translation (passports, birth certificates, diplomas, legal, medical documents, etc.)
• Information about the type of translation required

Automatically collected information

• IP address and browsing data (via essential cookies)
• Device type and browser

3. Purpose of processing

We use your personal information exclusively to:

• Process and deliver your certified translation request
• Send quotes, confirmations and delivery notifications by email and/or SMS
• Comply with our legal and ethical obligations as OTTIAQ certified translators
• Maintain certified translation records as required by professional practice
• Improve our services through internal analysis

We do not use your information for marketing purposes without your explicit consent.

4. SMS Communications (A2P)

By providing your phone number, you consent to receive transactional SMS messages related to your request, including:

• Confirmation of receipt of your request
• Notification that your quote is ready
• Payment confirmation and document delivery

Message frequency: maximum 3–5 messages per active request.

Message and data rates from your carrier may apply. We do not share your number with third parties for marketing purposes.

5. Document retention

Original documents and certified translations are retained for 5 years from the delivery date, in accordance with professional best practices for certified translators and potential verification needs.

After this period, documents are securely and irreversibly destroyed.

6. Information sharing

We do not sell, rent or share your personal information with third parties, except in the following cases:

• GoHighLevel (GHL): CRM platform used to manage forms, communications and automations
• Notarius: for digital authentication of translated documents
• Legal obligation: when required by law or a competent authority

All sub-processors are subject to confidentiality obligations.

7. Security

We implement appropriate technical and organizational measures to protect your information, including encryption of data in transit and at rest, restricted access and secure authentication.

In the event of a data breach affecting you, we will notify you within the timeframes required by Law 25 and to the Commission d'accès à l'information du Québec (CAI).

8. Your rights

In accordance with Quebec Law 25 and PIPEDA, you have the right to:

• Access your personal information we hold
• Request correction of inaccurate information
• Request deletion of your information (subject to legal retention obligations)
• Withdraw your consent at any time
• File a complaint with the CAI (Commission d'accès à l'information du Québec)

10. Changes to this policy

We may update this policy periodically. The date of last update will always be shown at the top. We will notify you by email of any material changes.
